Why exam photo and signature uploads get rejected — and how to fix each one
An exam portal that says only “invalid photo” is maddening when the deadline is hours away. In practice, rejections come down to a short list of causes, and each has a clean fix. Work through them in order — the first three account for the large majority of failed uploads.
1. The file is too large (or too small)
Every exam sets a file-size window — commonly something like 10–50 KB for a photo and 10–20 KB for a signature. A photo straight from a phone is thousands of KB and is rejected instantly; occasionally a heavily-compressed image falls under the minimum and is rejected for being too small. Fix: resize to the exam's pixel dimensions, then compress to land inside the window. Our file-size guide walks through it.
2. Wrong pixel dimensions or aspect ratio
Portals frequently require exact dimensions (for example 200 × 230 pixels) or a specific aspect ratio, and reject anything that does not match — including a portrait photo squeezed into a square box, which stretches your face. Fix: crop to the correct aspect ratio first, then resize to the exact pixel dimensions. Do not rely on the portal to “fit” it for you.
3. Wrong file format
Most exams accept only JPG/JPEG. Uploads fail when the file is a PNG where JPG is required, a HEIC image from an iPhone (which many Indian portals cannot read), or a PDF dropped into an image field. Fix: convert to JPEG. Our tool converts HEIC and PNG to JPEG automatically as part of resizing.
4. Busy or coloured background
Exams want a plain white or light background. Walls with posters, doors, curtains, other people, or a coloured backdrop all trigger rejection or, worse, silent problems at document verification. Fix: reshoot against a plain light wall or a clean white sheet, with a gap between you and the wall to avoid shadows — see our guide on taking the photo at home.
5. Face, expression or accessories
Many rejections are about the subject, not the file: face not centred or too small in the frame, eyes closed or looking away, hair covering the face, a broad smile where a neutral expression is required, tinted glasses or heavy glare on spectacles, or caps and non-religious head coverings. Fix: face the camera squarely, neutral expression, eyes open, head and shoulders filling the frame with a little space above the head, and remove anything the exam prohibits.
6. Old, low-quality or edited photo
Some exams require a recent photograph (often within the last three to six months) and reject scanned prints, blurry images, or photos with visible filters and beautification. Fix: take a fresh, in-focus photo with no filters, and if a date or name overprint is required, add it exactly as the notification specifies.
7. The signature specifically
Signature uploads fail for a grey (non-white) background, a faint or pencil signature, or the wrong dimensions. Fix: follow our signature guide — dark pen on white paper, even light, tight crop, brightened background.
